Secretariat Office

The Doctorate in Engineering Sciences with a specialization in Industrial Engineering has a Secretariat Office aimed at "comprehensively supporting the academic, administrative, and quality assurance management of the Postgraduate Program."

Among its functions, established under Resolution No. 463 of 2024, are:

  • Conducting the gathering of processes and procedures of the Program, generating process manuals.
  • Supporting the management of events for the dissemination and promotion of the Program.
  • Assisting in the management of the accreditation processes for the postgraduate program.
  • Monitoring the improvement plans of the Doctorate.
  • Disseminate the activity calendar of the Program at the beginning of each semester. Document the admission process, schedule interviews for applicants if necessary, and enroll in subjects.
  • Inform about the complete process for applying for internal scholarships; advise students, inform them of deadlines.
  • Archive and collect relevant information about the Program, especially that necessary for accreditation processes.
  • This information will include at least: retention, approval, delays, graduation, time to completion, the relationship between graduation time and the official duration of the Program, academic productivity (publications) of students and professors, actions for scientific dissemination, among others.
  • Such information will be updated in a database.
  • Communicate via email all notices and announcements of the Program to interested parties.
  • Proceed with the graduation process, required documentation, and deadlines.
  • Maintain fluid communication with the Vice-Deanship of Research, the Graduate Directorate, the Department of Industrial Engineering Directorate, and the Graduate Vice-Rectorate.
  • Incorporate new courses into the system and their codes, as agreed upon by the CPD of the program.
  • Supervise and update the Program's website.
  • Monitor graduates, maintaining an updated database with their contacts and job positions.
  • Organize Project Thesis Progress and Degree Exams. Conduct periodic and systematic monitoring of the satisfaction of students, academics, or external stakeholders. Additionally, carry out the analysis and evaluation of complaints.
  • Channel inquiries, doubts, and issues raised by the student representative of the program to the CPD.
